Meet Your Assistant

Your BusyBook assistant is a personal AI business partner dedicated to your practice. It’s not a chatbot — it reads your actual data, takes real actions, and learns your preferences over time.

Think of it as a front desk person who:

  • Never sleeps
  • Never forgets a client
  • Handles scheduling, follow-ups, and admin automatically
  • Gets smarter the more you use it

Your assistant has a phone number. Save it in your contacts and text it like you’d text a real person.

How to find your assistant’s number:

  1. Log in to app.busybook.co
  2. Go to the AI Assistant page (or look in your onboarding confirmation)
  3. Your assistant’s contact info is displayed at the top

Save this number in your phone — you’ll use it every day.

You can also chat with your assistant directly in the BusyBook dashboard:

  1. Log in to app.busybook.co
  2. The AI Assistant page provides a chat interface
  3. Type your request and the assistant responds in real-time

After connecting, send a test message to confirm everything works:

Send: “Hello, are you there?”

Your assistant should respond within a few seconds, confirming it can access your practice data. If it doesn’t respond within 30 seconds, see troubleshooting.

Here are some things to try right after connecting:

Your assistant has access to:

  • Your complete client list and contact info
  • All appointments (past, present, and future)
  • Session notes and SOAP records
  • Business hours and service menu
  • Revenue and expense data

It does NOT have access to:

  • Other therapists’ data (it’s scoped to your practice only)
  • Your personal email or social media accounts
  • Anything outside of BusyBook
  1. Be natural — talk to it like a person, not a search engine
  2. Be specific when needed — “move Sarah’s Tuesday 2pm to Friday at 10am” is better than “reschedule Sarah”
  3. Use it daily — the more you use it, the more it learns about your practice patterns
  4. Trust it to act — when it says “Done!”, it actually wrote to the database. Check the calendar to confirm.
