Client List
Section titled “Client List”The Clients page shows all your clients with key information at a glance.
Searching and Filtering
Section titled “Searching and Filtering”- Use the search bar to find clients by name, email, or phone
- Filter by status (Active, Inactive, New)
- Sort by name, last visit, total visits, or date added
Adding a Client
Section titled “Adding a Client”- Click Add Client
- Enter their details: name, email, phone, and any notes
- Click Save
Or text your assistant: “Add a new client: Rebecca Martinez, rebecca@email.com, 214-555-0123”
Client Profile
Section titled “Client Profile”Click on any client to see their full profile:
Overview Tab
Section titled “Overview Tab”- Contact information
- Visit statistics (total visits, last visit, next appointment)
- Quick actions (book, message, edit)
History Tab
Section titled “History Tab”- Full appointment history with dates, services, and status
- SOAP notes from each session
Intake Tab
Section titled “Intake Tab”- Intake form responses
- Health history
- Consent forms
Messages Tab
Section titled “Messages Tab”- Full conversation history with this client
- Send a message directly from this tab
AI Tab
Section titled “AI Tab”- Ask your assistant about this specific client
- The assistant has full context about their history
Intake Forms
Section titled “Intake Forms”BusyBook provides digital intake forms that clients can fill out before their first visit.
How It Works
Section titled “How It Works”- The assistant (or you) sends the client a secure link to their intake form
- The client fills it out on their phone or computer
- The data is saved to their profile and available before their appointment
- You can review intake data from the client’s profile > Intake tab

Section titled “What’s Collected”- Contact information
- Health history and contraindications
- Areas of concern
- Consent signatures
Relationship Health
Section titled “Relationship Health”BusyBook tracks the health of your client relationships:
- Active: Regular visits within their normal booking pattern
- At Risk: Visits are slowing down — the assistant can proactively reach out
- Dormant: No visit in 60+ days — candidate for reactivation
Your assistant uses this data to prioritize follow-ups and suggest outreach.
